The Goal: Add a resource (document, image, video, or external link) to the Info Hub so members can access it.
Before You Begin:
- You must have Create access to Shared Files in the Info Hub to add resources.
- Standard Word/PDF documents, as well as jpg, png, and videos may be added. Acceptable file types are: .pdf, .doc, .docx, .xlxs, .xls, .txt, .cvs.
- Executable files (.exe, .msi) may not be added
Step-by-Step Instructions
- Go to Memberships, Info Hub section, click Shared Files.
On the Shared Files page, click the Add button.
Configure the following:
- Provide a Title for the resource. The title will be displayed in the list of resources and provides an understanding of the purpose of the resource.
- Provide a Description of the resource. The description is displayed when the mouse is dwelled over the title of the resource.
- Click the Choose File button to navigate to the desired file, or enter the URL in the Video Link or External Resource URL (to embed a video, be sure to include https://) box. Acceptable file types are: .pdf, .doc, .docx, .xlxs, .xls, .txt, .cvs. A file preview will display in the Info Hub.
- (Optional) Restrict access to these Lists/Committees: If you wish to limit access to the resource to certain group(s), select the desired groups.
- (Optional) Publish Start Date/Publish End Date: If populated, the resource should only display for others in the hub after the start date and before the end date. The resource will always remain for the original uploader regardless of publish dates.
- (Optional) If categories for resources have been defined, select the desired category from the drop-down list.
- (Optional) If you want the resource to appear in a specific folder, select the folder.
- Click Done to save and publish to the Info Hub.
Common Pitfalls
- Uploading an unsupported file type: Executable files (.exe, .msi) cannot be added. Stick to the accepted document, image, and video types, or use the Video Link or External Resource URL field (including https://) for embedded media.
