The Goal: Forward a previously sent email to a new recipient, with control over how merge fields are populated.
Before You Begin:
- You need access to the previously sent email you want to forward, either from your communications list or from the contact’s record.
- The forward icon will not appear for notes, reminders, or phone calls — only for sent emails.
Microlearning Overview
Step-by-Step Instructions
- Locate the previously sent email you want to forward. You can forward a previously sent email either from the Communications module on the Browse tab or from a contact’s Communications tab.
- Click the ellipsis in the Actions column and select the Forward option. This will open the standard email screen and place FWD: in front of the original subject.

- If the email contains merge fields, the Forward email window will also provide a couple of options for the forward:
- Forward a previous recipients’ email: this will preserve the original content of the email, complete with the original recipient’s information in the merge fields.
- Forward this email but populate it with the newly selected recipient(s) merge info: this will replace any merge field data with that of the new recipient.
- If selecting the first option, use the field provided to select the desired previous recipient, and the button to preview the email prior to delivery.
If selecting the second option, a message will appear recommending you use the Send Preview option to ensure all fields are populating as expected. - When you have selected your desired options and previewed the email to ensure it will forward as intended, either schedule the email for later delivery or send the email.
| NOTE: The forward icon will not show for notes, reminders or phone calls. |
Common Pitfalls
- Email Designer double-spacing: There is a known issue with Email Designer communications where, when using the forwarding option in GrowthZone, the forwarded message displays double-spacing instead of the original spacing. At this time, the workaround is to save your Email Designer message as a template, then send the template out as opposed to forwarding a previously sent Email Designer message.
- Merge fields show the wrong recipient: If you forward with merge fields, choose the correct forwarding option (preserve the original recipient vs. repopulate with the new recipient) and use Send Preview to confirm the fields populate as expected before sending.
