The Goal: Use the Tracking page in the Continuing Education section to monitor contacts' certification progress, filter by status, and manage individual certification records.
Before You Begin:
- Contacts must be enrolled in a certification program before they appear on the Tracking page.
Step-by-Step Instructions
- Go to Events & Learning, Continuing Education section, click Tracking. The page displays contacts and their certification statuses.
- Use the Quick Filter drop-down to filter the list by any of the following statuses:
- In progress: Contacts currently working towards a certification. This status may be automatically set when a contact applies and participation does not Require Approval, or it may be manually set by staff.
- Applied: Contacts who have applied but have not yet been approved. Only certifications set to Require Approval will appear here. If a certification does not require approval, the status is automatically set to In progress.
- Declined: Contacts whose application was denied. Manually set by staff.
- Active: Contacts with active certifications. Automatically set when a certification is completed — either by system logic (all components completed) or manually by staff if certification completion requires approval.
- Inactive: Manually set by staff — for example, if someone signed up for a certification program but has not been working towards its completion.
- Expired: Contacts whose certifications have expired. Expiration dates are configured at the certification program level.
- Not Completed: Contacts who did not complete the necessary certification work in the time allotted. Manually set by staff; there is no automated logic for this status.
- Admin Review: Contacts who have completed the necessary work but whose certification must be approved by an administrator.
- Expiring: Contacts whose certification is nearing expiration. Contacts are marked as expiring based on the Send 'Certification Expiring' Emails n Days Before Expiration setting configured in the Continuing Education section, Settings, under Certification General Settings.
- Cancelled: Contacts whose certification has been cancelled. Manually set by staff; there is no automated logic for this status.
- Specific certification: A list of all your certifications is also available for selection in the quick filter.
- To add more filtering criteria, click the Customize Filter button and configure as needed.
Common Pitfalls
- Contact not appearing in Tracking: Verify the contact is enrolled in a certification program. Use Customize Filter to search by contact name if the list is lengthy.
- Expiring emails not sending: Confirm the Send 'Certification Expiring' Emails n Days Before Expiration value is set in the Continuing Education section under Settings.
