The Goal: Monitor your assigned tasks and update an individual task — re-assigning it, recording completion progress, and checking off sub-task items.
Before You Begin:
- Tasks must already be assigned to a staff person. The assignee receives an email notification when a task is assigned.
- Assigned tasks appear in every location where the task is displayed — for example, an event task also shows on the event's Tasks tab.
- To be notified when anyone changes a task or project you own, subscribe to the relevant notification. See Subscribe to Automated Staff Notifications.
Step-by-Step Instructions
View Your Assigned Tasks
- Go to Home, My workspace section, click Tasks.
- Filter the Show Only drop-down list to My Tasks.
- The list is now filtered to the specific staff member. At a glance, the list displays the name of the task, the priority of the task, the due date, percent complete, and more.
Staff also have an indicator in the upper bar of GrowthZone that shows tasks that are due. Clicking the icon navigates the staff user to their own task list, and the icon displays a number for the tasks that are due that day or are past due.
Open an Individual Task to Update It
By updating individual tasks, you can re-assign the task to another staff member, add notes, and mark individual sub-tasks as completed.
- Go to Home, My workspace section, click Tasks.
- Filter the Show Only drop-down list to My Tasks. The list is now filtered to the specific staff member.
- Click the link for the task you wish to update.
Re-assign a Task
To re-assign a task, open the task as described above:
- In the Assigned to drop-down list, select the staff member to whom this task is to be re-assigned.
- Click Done.
An automated email will be sent to the staff member assigned.
Update Task Completion Progress
NOTE: Follow this procedure if there are no sub-tasks associated with the task. If sub-tasks are associated with the task, see the steps under Update Status of Sub-tasks below for updating their completion progress.
- Open the task, as described above.
- Scroll to the Status section.
- If the task is partially completed, enter the percent completed, or click the checkbox to mark the task as completed. The Completed Date will be automatically populated with the current date.
Update Status of Sub-tasks
- Open the task, as described above.
- Scroll to the Task Items section.
- Click the checkbox for the items that have been completed. The Completed Date will automatically be populated with the current date.
- Click Done.
Common Pitfalls
- Forgetting to save sub-task updates: After checking off sub-task items and clicking Done, the Percent Complete in the Status section is recalculated automatically — don't manually re-enter a percentage that conflicts with the checked items.
- Editing percent complete on a task that has sub-tasks: Use the Task Items checkboxes instead of typing a percent directly, so the completion progress stays accurate.
