If they can’t attend for a covered reason, ViCoverage handles the refund directly — so you keep the non-refundable registration revenue and your staff stays out of the claims process. It is available at no cost to the association, with no setup and no contracts.

Strategy Checklist (Before you click):
Registration Protection is switched on for you: when you create a new event, the Offer Registration Protection checkbox is selected by default. Before rolling this out, gather your team and decide on the following business rules:
- Do we want Registration Protection offered on every event, or are there events we would deliberately opt out of?
- Which of our existing, already-published events should we go back and add it to?
- Does our published cancellation or no-refund policy need updating now that attendees have a protection option at checkout?
- Who on staff will point attendees to ViCoverage when a refund or claim question comes in, so claims never land in our own queue?
The Implementation Blueprint
Follow these phases to successfully roll out this strategy for your association:
Phase 1: Understand the Offer and Brief Your Team
Plans can change in an instant — an unexpected illness, an injury, a family emergency. Most event registration fees are non-refundable, and cancelling can cost the attendee. Registration Protection reimburses up to 100% of an attendee’s non-refundable fees if they are unable to attend for a covered reason, without impacting your event revenue or your team’s time. Share the one-pagers below so members and staff know what is being offered.
Phase 2: Know What Members See at Checkout
When registering for an event, members can add Registration Protection at checkout.
Phase 3: Add Registration Protection to an Existing Event
Events created before you turned your attention to this can be updated in place.
- Go to Events & Learning, Events section, click All Events - List View.
- Locate the event you want to update and click the pencil icon to edit General Information.
- Select Offer Registration Protection and click Done.
Phase 4: Confirm Protection Is On for New Events
When creating a new event, ensure the Offer Registration Protection checkbox is selected in the Options section of the Events & Learning area.
How Registration Protection Works with Other Event Settings
- Auto Refund Stop Date is unavailable. When Offer Registration Protection is selected, the Auto Refund Stop Date field is greyed out. Registrants who buy protection get refunds through ViCoverage, not GrowthZone's automatic refunds. See Auto Refund Stop Date Unavailable with Registration Protection.
- Protection isn't offered on every cart. Registration Protection only covers registration and attendance fees, so it isn't shown when the cart includes a donation over $0, a sponsorship fee or an exhibitor fee. Where do I go if I need help?
If you need any help related to your insurance, refunds, or protection, please visit the ViCoverage Customer Portal. ViCoverage will answer all questions related to your refund and protections through this portal. If you’ve purchased insurance through GrowthZone via ViCoverage with your Event Protection, you should create an account using the email address associated with the coverage. Consultant Pro-Tip: Let the protection carry your no-refund policy
A firm no-refund policy is easier to hold when the attendee has a way to protect themselves at checkout. Say so plainly in your registration copy — “registration fees are non-refundable; Registration Protection is available at checkout” — and you reduce the volume of one-off refund requests your staff has to negotiate, without taking on the risk yourself.
Watch for one thing: the Offer Registration Protection checkbox is automatically selected when creating new events. Confirm it remains checked unless your association has a specific reason to opt out.
