The Goal: Add a one-off, non-recurring billing item to a contact so that it will be invoiced on a future date.
Before You Begin:
- The fee item you wish to bill must already be configured in the system.
- Navigate to the contact record for the individual you wish to schedule a one-time billing for.
Step-by-Step Instructions
- On the contact's Billing Setup tab, click the add icon in the Other Scheduled Billing section and choose Add One Time Billing.
- On the Add One Time Billing screen, configure the following:
- Customer: The name of the customer will automatically be populated.
- Fee Item: Select the desired fee item from the Fee Item list. The Description, Price, and Quantity will automatically populate with the defaults set when the fee item was created. You can change these if needed.
- Billing Contact: Select the desired billing contact.
- Billing Address: Select the desired billing address. If no addresses are available, or you wish to add a new address, click the add icon to add a new address.
- Billing Email: Select the desired billing email. If no email address is available, or you wish to add a new email address, click the add icon to add a new email address.
- Date Settings: Enter the Next Bill Date. The system will use this date to ensure that the item is included on the Upcoming Billing page.
- Discounts: Refer to Working with Discounts for details on how to add a discount to your one-time item.
- Invoice Settings: Select to Print and/or Email the invoice. This is the default the system will use when you send invoices from the Unsent Invoices page. Select the Term to be applied to this invoice.
- Payment Profile: If the contact has a payment profile associated and wishes to pay this invoice with the profile, select the desired profile.
- Click Done.
Once scheduled, the one-time invoice will appear on the Upcoming Billing page. Go to Finance, Billing section, click Upcoming Billing to generate it as described in Manage Invoices for Upcoming Billing.
Common Pitfalls
- Invoice not appearing in Upcoming Billing: Confirm the Next Bill Date was set correctly and falls within the date range you are filtering on the Upcoming Billing page.
- Billing Setup tab not visible: Ensure you are on the contact's record and have selected the Billing Setup tab (a sub-tab within the Billing area on the contact record).
