The Goal: Create a Course-type component in GrowthZone so it can be attached to a certification program and used to track member credits and hours.
Before You Begin:
- If you plan to add Objectives or Prerequisites to this course, set those up first.
- If you will use a customized certificate template for this component, create it before starting. See Set up Continuing Education Component Certificate Templates for instructions.
- If you will charge a fee for this component, ensure the Fee Item is already configured.
- If you are setting up COEC/COEN courses for REALTORS® to sync with M1, the Type field is required. See Code of Ethics and Continuing Education for details.
Step-by-Step Instructions
Go to Events & Learning, Continuing Education section, click Components. Then click the Add Course button.
- In the Add Course window, configure the following:
- Name: Enter a name for the course.
- Code (Optional): Enter a code for the course.
- Type (Optional, except for COEC/COEN REALTOR® courses): Enter the type for the course.
- Description: Enter a description of the course.
- Availability Opens: Enter the date when the course opens.
- Availability Closes: Enter the date when the course closes.
- Instructor: Enter the instructor name. NOTE: When adding a course component to an event, you will be able to update the instructor at that time.
- Is Active: Enabled by default. Best practice: de-activate a course when it is no longer in use rather than deleting it.
- Requires Approval: If a staff member must approve the component enrollment, enable this option. This creates a checkbox in the Tracking area requiring staff sign-off before the member can proceed.
- Configure the Upon Completion options (optional):
- Hours Earned: Enter the hours awarded on completion.
- Credits Earned: Enter the credits awarded on completion.
- Document Template: If using a customized certificate template for this component, select it from the dropdown.
- Add Objectives (optional): Click the blue plus icon to add objectives as needed.
- Add Prerequisites (optional): Click the blue plus icon to add prerequisites. The system will prevent the contact from completing this course if prerequisites have not been met.
- Configure Fees (optional — only needed if charging a fee for the component above and beyond an event registration fee):
- Select the Fee Item from the drop-down list. The price configured for that fee item will auto-populate and can be overridden.
- Component of: To attach this course to an existing certification program, click the blue plus icon and select the desired program. NOTE: In order for credits/hours to apply, components MUST be attached to a certification. If a default certification is specified in the Continuing Education settings, this field will auto-populate.
- Click Done to save the new course.
Common Pitfalls
- Credits/hours not recording: Components MUST be attached to a certification program for credits or hours to apply. Set the "Component of" field or configure a default certification in your Continuing Education settings.
- REALTOR® Type field: For COEC/COEN courses, the Type field is required — not optional. Missing this will prevent the M1 sync from working correctly.
