The Goal: Use the Events Custom Tool in Email Designer to automatically pull a list of upcoming events into your newsletter or email—no manual data entry required.
Before You Begin:
- You need permission to create and edit emails in Email Designer.
- Have your events already set up, with the correct calendar(s) and category(ies) assigned, so the tool can find them.
- Know which date range (number of months to look ahead) you want the list to cover.
The Custom Tools in Email Designer are designed to pull in lists of database information into your newsletter without having to manually enter data. The Custom Tools are found at the bottom of the tool panel in Email Designer.

Step-by-Step Instructions
- Go to Marketing & Communication, Communication section, click Email Designer, then open or create the newsletter/email you want to work in.
- Locate the Custom Tools at the bottom of the tool panel and find the Upcoming Events tool.
Promote your events using the Upcoming Events custom tool. Once included in your newsletter/email, recipients will be able to view event details and link to the event page and registration page. - Drag & drop the Events block into your newsletter, then click the block to configure it:
- Select the calendar(s) you wish to include
- Select the category(ies) you wish to include
- Select the number of months you wish to look ahead for events
- Select whether to include the event date or not
- Select the sort order of the list (by date or name)
- Use the text editor options to format your text, add additional verbiage, and other pertinent links
Review the loaded list of upcoming events in your email.
Common Pitfalls
- Losing your formatting on reload: Any formatting applied after the upcoming events are loaded will be lost if you reload the list for any reason (such as changing the date range). Finalize your date range and selections first, then format last.
