The Goal: View and manage the attendees on an event’s waiting list—registering them when space opens up or removing them as needed.
Before You Begin:
- You must have permission to manage events and event attendees.
- The waiting list must be turned on for the event. See Allow Waiting List for an event so visitors can add themselves to the waiting list.
- When a visitor joins the waiting list, the Event Waiting List Automatic Notice automated message is sent to them. You can customize this email to suit your needs—see Automated Messaging for further information.
Step-by-Step Instructions
- Go to Events & Learning, Events section, click All Events, then open the event you want to manage.
- Open the Attendee tab. Here you can view who is on the waiting list, register people from the waiting list, and remove people from the waiting list as needed.
-
Understand what registrants see: if the waiting list is enabled, once you have reached the maximum allowed for the event, registrants will see “Maximum attendee limit for the event has been reached. You have to add X attendee(s) to the waiting list, or remove them to continue” when trying to register. If the registrant chooses to continue, they must select the “Add to Waiting List” check-box.
-
View the waiting list on the Attendee tab by filtering to Waiting List in the Quick Filter menu.
-
When registrations open up, you may register a person from the Attendee tab or remove them from the waiting list. Click the actions to the far right and select either Register or Remove from Waiting List.
Common Pitfalls
- Forgetting to enable the waiting list: Visitors can only add themselves to the waiting list if Allow Waiting List is turned on for the event first. Enable it before the event fills up so no one is turned away.
