The Goal: View and update the recurring fee schedules associated with a contact's memberships and other scheduled billing items.
Before You Begin:
- Navigate to the contact record for the individual whose scheduled billing you wish to view or update.
- Note: Changes made to scheduled billing will apply to all future renewals. They are not retroactive to existing invoices.
Step-by-Step Instructions
- On the contact record, select the Billing Setup tab. Two sections will be displayed for recurring fees: Membership Scheduled Billing and Scheduled Billing.
- View Membership Scheduled Billing: The Membership Scheduled Billing section is automatically created when a membership is added to a contact. Note: If the membership includes multiple fees, they are not displayed individually in the schedule, but you can review them by clicking the membership hyperlink.
- View Other Scheduled Billing: In the Scheduled Billing section, you will find other items that may have been set up on a recurring basis, such as donations.
- Update Scheduled Billing: In the Scheduled Billing section on the contact's Billing Setup tab, click the hyperlink for the schedule you wish to change and make the desired updates. Note: Changes will apply to all future renewals and will not be retroactive to existing invoices.
Common Pitfalls
- Cannot see individual fees: Multiple fees under a single membership are grouped and not shown individually in the schedule list. Click the membership hyperlink to review the individual fee items.
- Changes not retroactive: Updating a scheduled billing item will only affect future renewals. If you need to correct an existing invoice, that must be handled separately on the contact's Billing tab.
