The Goal: Permanently delete a membership from a contact record, and understand what you lose by doing it.
Before You Begin:
- Deleting a membership is possible, but we do not recommend it. Deleting removes all historical data tied to that membership, disconnects every associated contact from it, and then removes the membership itself.
- If you only want to end the membership, drop it instead. Dropping keeps the history. Choose Drop rather than Delete in step 3.
- Decide in advance what should happen to any open invoices, and what Info Hub access level the contact and its related contacts should keep.
Step-by-Step Instructions
- Open the member's record. On the Overview tab, find the Memberships section and click the actions (•••) icon for the membership you want to delete.
- Click Drop or Delete Membership.
- In the Action list, select Delete.
- Make the remaining choices to suit your organization:
- Tick Remove All Directory Listings to take any listings off the contact's Web Content tab automatically.
- Under Open Invoices associated with this Membership will be, choose Written Off or Left Open. If you write them off, tick the invoices you want written off in the Invoices to Write Off list.
- Use Update Access Level for all Contacts to set the Info Hub access level that should apply to the contact and all related contacts.
- You can also set an access level for each related contact individually, and tick Remove From Lists/Committees for any of them.
- Click Done. The membership and its history are removed.
Common Pitfalls
- Deleting when you meant to drop: Delete destroys the membership history and cannot be undone. Drop ends the membership and keeps the record. If you are unsure, drop it.
- Leaving invoices behind by accident: Written Off is selected by default, but only the invoices you tick in Invoices to Write Off are actually written off. Check the list before clicking Done.
- Forgetting Info Hub access: Deleting the membership does not change what the contact can see in the Info Hub on its own. Set the access level in the same dialog.
