The Goal: Deactivate an individual contact from a business organization they are no longer a part of, while preserving the individual's historical record in the database.
Before You Begin:
- You need access to the business organization's contact record.
- Deactivate rather than delete individuals — the database maintains historical information about your individuals, and deleting them removes it.
- Be aware that deactivating an individual does not automatically revoke their Info Hub access; you will need to do this manually afterward.
Step-by-Step Instructions
- On the business contact's Overview tab, click the
icon adjacent to the individual you wish to deactivate.
- De-select the Active check-box. The End Date will automatically be populated with the current date.
- Click Done.
The deactivated individual will no longer be associated with the business; however, an individual record will be maintained, and the individual will have a status of non-member (unless the individual is attached to another active association).
Common Pitfalls
- Deleting instead of deactivating: Do not delete individuals — deletion destroys the historical record the database maintains. Always deactivate to preserve the individual record.
- Forgetting to revoke Info Hub access: Deactivating an individual does not automatically revoke their Info Hub access. Remember to remove that access manually.
