The Goal: Edit and maintain an existing marketing automation workflow—including its name, timing, participants, and exclusions—and understand how the system updates workflow steps over time.
Before You Begin:
- You need staff access to the Marketing Automation area.
- At least one workflow must already exist.
- If a list/committee feeds the workflow, have that list handy in case you need to adjust participants.
Step-by-Step Instructions
- Go to Marketing & Communication, Marketing Automation section, click Workflows.
- Open an existing workflow by clicking the name of the workflow.

On the General tab, you can change the name and/or description of the workflow; the timing of the workflow; the workflow participants; and any list-based exclusions for the workflow. You can also view and download the workflow metrics.
- Adjust the fields you need to update, then save your changes.
Common Pitfalls
- Expecting instant updates: Workflows update/execute once an hour. This process moves contacts to appropriate steps and updates the quantity shown in each step—changes are not reflected in real time.
- Removing a contact the wrong way: If you need to remove a contact from a list/committee that is feeding the workflow, remove them from the list; they will then be removed from the workflow. The display of the number of contacts in a particular step will update with the new value the next time the workflow executes.
- Reactivating a workflow: If you re-activate a workflow that has been de-activated, it will update the next time the workflow executes—not immediately.
