The Goal: Update the invoice template on one or more existing invoices — either individually or in bulk — for example, to apply a reminder template to overdue invoices.
Before You Begin:
- Invoice templates must already be configured in the system. See Set Up Your Invoice Template(s).
- You can update a template on an individual invoice from the contact's Billing tab or from Finance, Billing section, All Sales/Invoices. For bulk changes, use the Finance rail.
Option A — Change the Template on a Single Invoice
- Click the link for the desired invoice. You can find the invoice on the contact's Billing tab or in the Finance rail, Billing section, All Sales/Invoices.
- In the Edit Invoice screen, click Advanced Options.
- Select the desired Invoice Template from the list.
- Click Done.
Option B — Change the Template in Bulk
- Go to Finance, Billing section, click All Sales/Invoices.
- Use the filtering options to filter to the desired invoices.
- Click the drop-down arrow adjacent to New Invoice.
- Click Invoice Templates.
- Choose the desired template from the New Template list.
- Choose the invoices to which you wish to apply the template. Tick the uppermost checkbox to select all, or check each desired invoice individually.
- Click Done.
Common Pitfalls
- Template not appearing in the list: If the desired template does not appear in the drop-down, it may not be configured yet. See Set Up Your Invoice Template(s).
- Bulk template change applies to all filtered invoices: Review your filters carefully before applying a bulk template change to ensure only the intended invoices are updated.
