The Goal: Generate the membership scheduled billing for a contact whose active membership does not have a billing schedule (for example, because all fees were removed when the membership was originally added).
Before You Begin:
- This is a rare scenario. Normally, the system automatically creates a Membership Scheduled Billing when a membership is activated. Use this process only when no schedule was created.
- You are not performing a true upgrade — this process uses the upgrade workflow as a mechanism to pull in the fee schedule for the existing membership type.
Step-by-Step Instructions
- Navigate to the contact's record. On the Profile tab, in the Memberships section, click the Actions button for the membership you wish to update.
- Click Upgrade Membership.
- On the Edit Membership screen, choose any other membership type from the Type dropdown. Then, also from the Type dropdown, select the contact's existing membership type. This action will pull in the fee schedule associated with the membership.
- Review the Next Bill Date for accuracy.
- Click Done.
Common Pitfalls
- Selecting only the other type: You must first select a different membership type, then reselect the contact's existing type. Both steps are required to trigger the fee schedule import.
- Next Bill Date: Always review the Next Bill Date after completing the steps — it may default to an unexpected value.
