The Goal: Void a credit memo that is no longer needed, maintaining your financial audit trail without permanently deleting the record.
Before You Begin:
- The Void option is only available if you are outside the Deletion Days window set in your finance settings. If you are within the window, a Delete button will appear instead.
- The Void option will not be available if the credit memo has already been applied to an invoice. You must unapply the credit before voiding.
Void a Credit Memo
- Go to Finance, Billing section, click All Credit Memos. A list of current credit memos is displayed.
- Click the hyperlink for the credit memo you wish to void.
- Click the Void button.
Common Pitfalls
- Void Not Available — Credit Is Applied: If the credit memo has been applied to an invoice, the Void option will not appear. You must first unapply the credit memo from the invoice before the void option becomes available.
- Delete Button Appears Instead of Void: If your finance settings allow deletions within a recent period and the credit memo falls within that window, you will see Delete instead of Void. For auditing best practices, configure your Allow Deletion for (days) setting to 0 so that voiding is always the only available action.
