The Goal: Review and update membership expiration dates in bulk, relative to each membership’s next bill date.
Before You Begin:
- You need staff access to the Memberships area.
- This tool updates memberships with an Annual frequency.
- By default the system sets the expiration date to 1 day before the next bill date. For example, a 12-month membership that renews in January expires 12/31. Use this tool only if you need a different date.
Step-by-Step Instructions
- Click Memberships in the left-hand rail.
- In the Memberships section, click Settings.
- Click Mass Update Expiration Dates. The Mass Update Expiration Dates window opens.
- Select the Membership Type(s) to update (required).
- Select the Membership Status to update.
- In Activation Exp. Date, enter the number of days after the next bill date that the membership should expire. To expire before the next bill date, enter a negative number (for example, -2 for two days before).
- Alternatively, select Month End Dates to set the expiration date to the last day of the month before the next bill date.
- If your membership types are set up for auto-drop, enter the Grace Exp. Date: the number of days after the activation expiration date that the grace period ends.
- Click the Load button. The list shows each membership’s current and proposed expiration dates so you can review them.
- If the proposed dates are correct, click the Update button.
Common Pitfalls
- Changing settings after Load: The selections in place when you click Update are what get applied. If you change a setting after loading, click Load again and re-check the proposed dates before updating.
- Skipping the review: Always click Load and review the proposed dates first; Update applies the change to every membership matching your filters.
