The Goal: Use the Review Next Bill Dates tool to identify and correct members whose next bill dates do not align with the expected renewal date set on their membership type.
Before You Begin:
- You must have Enforce Date Rules on Fixed Renewal Month Memberships enabled in membership settings. Go to Settings, Membership Settings to enable this option. If it is not enabled, the Review Next Bill Dates screen will display a message prompting you to enable it.
- This tool is designed for annual scheduled billings only.
- Your association must have a "renews on" date set to a specific date on your membership types (e.g., January 1st for most REALTOR® Associations).
Using the Review Next Bill Dates Tool
- Go to Finance, Billing section, click Settings and open the Review Next Bill Dates tool.
- Review the members listed, if any. Members listed here have Next Bill Dates that are not expected — meaning the current Next Bill Date differs from the "renews on…" date set for each membership type. Notice the Current Next Bill Date and Proposed Next Bill Date columns.
- Use the Filter section to filter results by Status, Membership Type, or Current Next Bill Date as needed. Then click Load to see the proposed results.
- Click Update to kick off a mass change for the filtered results. This will update all scheduled bills with incorrect next-bill dates to the proposed next-bill date — even if only the first 500 are listed on screen.
- If you have more than 500 results listed, use the Download button at the top of the screen to review all scheduled billing items that will be changed before proceeding.
Common Pitfalls
- Date Rule Setting Not Enabled: If Enforce Date Rules on Fixed Renewal Month Memberships is off, the tool will not function. Enable it in Settings, Membership Settings first.
- Only Annual Billing Affected: This tool applies only to scheduled annual billings. Other billing frequencies will not appear in the results.
- Large Result Sets: If you have more than 500 members with incorrect dates, all will be updated when you click Update — not just the 500 displayed. Download the full list first to review all impacted records.
