The Goal: Use the Membership Report to identify any active members who do not have a scheduled billing assigned, so you can make the necessary corrections before running upcoming billing.
Before You Begin:
- For members who do not have a scheduled billing and are expected to have one, you will need to upgrade or downgrade the membership to add the schedule. See How to add a schedule when an active contact does not have one for detailed steps.
- For invoices to be generated during upcoming billing runs, members must have a scheduled billing assigned to their Billing tab.
Identify Members Without a Scheduled Billing
- Navigate to the Membership Report. (See the Membership Report article for full instructions on generating this report.)
- In the report, filter on Active membership status.
- Add an Additional Criteria/Filter for Total Recurring Fees = 0.
- Run the report. Any results indicate active members who presumably should have a fee schedule but do not.
- For each identified member, navigate to their contact record and update the membership's scheduled billing from the member's Profile tab. This will require performing an upgrade or downgrade. See How to add a schedule when an active contact does not have one for guidance.
Common Pitfalls
- Complimentary Members Appearing in Results: Some active members may intentionally have a $0 scheduled billing (e.g., complimentary or honorary members). Review results carefully before making changes — not every result necessarily requires an update.
- Upgrade/Downgrade Required to Add a Schedule: You cannot simply add a scheduled billing directly to an active membership. The system requires an upgrade or downgrade workflow to attach a fee schedule to an existing active membership.
