The Goal: Add a reactivation fee to an individual past-due invoice so the member must pay the reactivation fee along with the original amount owed.
Before You Begin:
- Best practice: if you plan to suspend a member, add the reactivation fee to the open invoice first.
- A fee item of type Late fee must already be set up. When using accrual accounting, set the goods/service recognition to On Invoice Date.
- The date of the reactivation fee will reflect the current date, NOT the invoice date.
Step-by-Step Instructions
- Go to Finance, Billing section, click Manage Overdue.
- Filter the invoices as needed by clicking Show Only or Customized Results. By filtering you are generating the list of members to which you wish to add reactivation fees.
- Click the icon in the Actions column for the desired invoice.
- Select the Add Line Item check box.
- Select a fee item to add to the invoice from the Item list. Only fee items set up of type Late Fee will be available in the list. The Description and Amount will automatically be populated with the information provided when the fee item was created. These can be overwritten as needed.
- Click Apply Changes.
Common Pitfalls
- Fee item not visible: Only items configured as type Late Fee appear in the Item list. Verify the fee item's type if it is missing from the dropdown.
- Accrual accounting: If recognition is not set to On Invoice Date, the charge may not be accounted for correctly.
