The Goal: Make changes to the line items on an existing invoice when best-practice voiding is not desired or available.
Before You Begin:
- Best practice for managing an invoice that needs to be changed is to void the original invoice and recreate it. The steps below are for situations where that is not possible or desired.
- You will not be able to change the invoice if:
- The invoice has been paid. In this case, unapply the payment before making changes. See "Unapply A Payment and Apply an Overpayment".
- You are outside the Allow Deletion for (days) window configured in your Finance Settings. See Configure Default Finance Settings for further details.
- If your system is set to Best Practice Mode, use the Edit Invoice functionality instead. See Edit an Invoice (BP Mode).
Change an Invoice (Standard Mode)
- On the contact's Billing tab, click on the invoice number link for the invoice you wish to change.
- Make the desired changes. Note: You will not be able to change existing line items or their amounts directly. You must remove the line item and add new line items.
- Click Done.
Common Pitfalls
- Invoice already paid: If the invoice has a payment applied, you must unapply the payment first before changes can be made.
- Outside the deletion window: If the Allow Deletion for (days) setting has expired, the invoice cannot be changed. Verify your Finance Settings if you cannot edit an invoice you expect to be editable.
- BP Mode prevents direct editing: In Best Practice Mode, use Edit Invoice (BP Mode) instead of the steps above.
