The Goal: Run the Total Spending By Contact Report to see the total amount contacts have spent over a given time period, optionally filtered by product category (for example events vs. membership), so you can review spending patterns and budget for future years.
Before You Begin:
- Decide the time period you want to report on. The report filters on Purchase Date Range, which opens set to No Dates Selected.
- Decide whether you want to narrow the results to a single Product Category, Fee Item Type or Fee Item — each is a separate criterion on the report.
Step-by-Step Instructions
- Go to Reports, click All Reports.
- Click Total Spending By Contact Report.
- Select your search filtering criteria. For example, you may wish to generate the report for a specific Fee Item Type to view spending for just that type.
- Optional — add further conditions under Additional Criteria / Filters.
- Review Display Options. The system is set up with default fields to display in your report. You may add or remove fields using the Fields to Display drop-down.
- Select your Summarize By criteria. This optional field allows you to choose how report results are grouped. For example, you may choose to group results by contact name.
- Click the Run Report button.

Common Pitfalls
- Leaving the date range unset: Purchase Date Range opens at No Dates Selected, so running the report straight away returns every transaction on file. Set a range before you read the totals.
- Expecting grouped results without choosing a field: Summarize By is empty by default and Display Mode is set to Detail, so results come back one row per transaction until you pick a field to summarize on.
