The Goal: Analyze the sales generated by all or specific members, filtered by member, date range and your own search criteria.
Before You Begin:
- You need permission to run reports.
- NOTE: This report shows sales totals, whether or not the sale has been paid for.
- The report opens with Sale Date Range set to the current month. Widen it before you run the report if you want a longer period.
Step-by-Step Instructions
- Go to Reports, click All Reports.
- Click Sales By Contact Report. Type part of the name into the search box if the list is long.
- Select your search filtering criteria. The report offers Sale Date Range, Member Join Date Range, Sale Entry Date, Fee Item Type, Fee Item and Product Category.
- Optional — add further conditions under Additional Criteria / Filters. For example, select Membership Type if you want the report broken down by membership type.
- Under Display Options, review Fields to Display. The system comes with a default set of columns; add or remove columns from the drop-down list.
- Set Summarize By if you want the results grouped — by contact name, for example. Leave it empty for a flat list, and use Display Mode to switch between Detail and a summary view.
- Click the Run Report button.
- The results appear below the filters, with a Results count and one row per sale line item.

Common Pitfalls
- Reading the totals as revenue received: These are sales totals, paid or not. Use a payments report if you need money actually collected.
- Leaving the default date range: Sale Date Range defaults to the current month, so a report that looks empty is usually a range problem, not a data problem.
- Forgetting to run the report: Changing a filter does not refresh the results. Click the Run Report button again after every change.
