The Goal: Share a completed sales proposal with your prospect—by download or by sending a link—so they can review and accept it online.
Before You Begin:
- You have already created and completed the sales proposal for the opportunity.
- You have configured the timeline item under Timeline Item Applied To Signups in your Sales Proposal settings. Click Here for instructions on setting up automated timeline items.
- You have subscribed the appropriate staff to the Sales Proposal Accepted notification if you want acceptance alerts.
Step-by-Step Instructions
Once you have completed the proposal, you can provide it to your prospect in either of the following ways.
Option 1: Download the Sales Proposal
- Open the sales opportunity and click the Proposal tab.
- Click the download icon in the Actions column.
Option 2: Send the Proposal URL
- On the Proposal tab, click the hyperlink for the proposal and copy the URL displayed.
- Paste the URL into an email to your prospect. Your prospect will be able to view the proposal online.
When the sales proposal link is sent in an email, your prospect can accept the proposal online. The following will occur when a proposal is accepted via the online option:
- The timeline will automatically be updated with the timeline item you selected as Timeline Item Applied To Signups in the Sales Proposal settings. Click Here for instructions on setting up automated timeline items.
- The Status of the opportunity will be automatically changed to Won.
- The Won/Lost Date of the opportunity will be automatically updated to the date the proposal was accepted.
- An email notification will be sent to those who have subscribed to the Sales Proposal Accepted notification. Click Here for details on setting up notifications.
When the proposal is accepted—whether via the link or in the back office—you will manually want to change the Sales Stage, and if necessary the Status Reason. The actual setup of membership and the associated fees will also need to be performed.
| NOTE: When the proposal is accepted via the link, or in the back office, a PDF snapshot is taken of the proposal as it currently is, and a copy of it is stored in the Cloud Drive and appears in the contact's Files tab. |
Common Pitfalls
- Forgetting to follow up after acceptance: An accepted proposal automatically sets the opportunity to Won, but it does not advance the Sales Stage, set the Status Reason, or set up the membership and fees. Complete these steps manually so the record stays accurate.
