The Goal: Run the Event Sponsorships By Contact Report to see who sponsored your events, filtered the way you need, with the actual amounts each sponsor purchased.
Before You Begin:
- You must have access to Reports.
- Know which event, date range, or category you want to report on — any filter you leave blank returns all records for that field.
- If a column you expect isn't in your results, check Fields to Display before assuming it's unavailable.
The Event Sponsorships By Contact Report provides the ability to view sponsors with various filters. The report allows you to filter by event date range, event category, calendar, event name, membership category, and to filter by displaying contacts.
Step-by-Step Instructions
- Click Reports in the left-hand rail.
- Use the Quick Filter option to show only Events reports.
- Select Event Sponsorships by Contact Report.
- Select desired filtering criteria:
- Event Date Range: Select the date(s). If no selection is made all events will be included in report results.
- Event Category: Select the desired category. If no selection is made, all categories will be included in report results.
- Calendar: Select the desired calendar. If no selection is made, all calendars will be included in report results.
- Event: Select the event that you would like to report on. If no selection is made, all events will be included in report results.
- Membership Category: Select the desired category. If no selection is made, all categories will be included in report results.
- Display Only Contacts: If your events included sponsors that were not contacts in the database, you may filter them out by selecting to include only those that are contacts in the software.
-
Display Options:
- Fields to Display: Default fields are included in the report. You can add or remove fields as needed.
- Summarize By: If needed, select a summarize by option. This will group the report results by the field selected. For example, if you are running a report for all of an event's sessions, you may wish to summarize by the Session Name.
- Display Mode: Select Detail to view details of sponsors or select Summary to view a total of sponsors (without sponsor names).
- Click Run Report.
What's New in Sponsorship Reporting
Sponsorship reporting now reflects the real realized value of your sponsorships, with fewer gaps in your results. Here's what changed:
| Column was called | Now called | What it shows |
|---|---|---|
| Sponsorship Price / Sponsor Fee | Sponsor Purchase Amount | The actual amount purchased, rather than the original price of the registration item. |
| Balance | Invoice Balance | The balance of the entire invoice — not the individual line item. |
- Deleted items still appear. Sponsor registration types and fee items that have since been deleted now still show in your report results, so there are no longer holes in your sponsors' purchase history.
- Default columns updated. A few of the default columns were swapped for the most frequently requested ones. Anything that isn't shown by default is still available under Fields to Display.

Common Pitfalls
- Assuming a column was removed: Some default columns were replaced with the most-requested ones. If a field you rely on isn't in your results, add it back under Fields to Display rather than assuming it's gone.
- Reading Invoice Balance as a line-item balance: Invoice Balance reflects the whole invoice. If a sponsor's invoice includes other charges, that balance is not the amount still owed on the sponsorship alone.
- Over-filtering with Display Only Contacts: Selecting this filters out any sponsor that isn't a contact in the database. If your sponsor counts look low, clear this option and re-run.
