What this does: Lets members buy a pack of event registrations from your store, then register for events in one category at no cost or a discount.
Applies to: GrowthZone with the Store module. You need staff access to billing settings.
Before you start: Pick the event category the vouchers cover and how many registrations each voucher includes.
Time needed: About 20 minutes.
On this page
A voucher works like a pack of tickets. A member buys it once from your store, which means one expense report for their employer. Each time they register for an event in the voucher’s category, the voucher discount applies to that registration automatically. This suits active groups such as Young Professionals or Women in Business.
For background, see the Vouchers functional specification (PDF) and voucher demonstration (Screencast video).
Set up a fee item for vouchers
Create the fee item you will charge when a member buys a voucher. For the steps, see Set Up Fee Items. Use these settings:
- Fee item type: Miscellaneous
- Accounting Type: Cash Basis
Set up a discount type
The discount type tells GrowthZone which accounts the voucher discount posts to. Go to Finance, Administrative section, click Billing Settings and select Discount Types. Add a discount type with these settings:
- Discount Type: Event Registration
- Saleable Item Type: Event Registration
For details, see Set Up and Apply Discounts.
Create the voucher discount
The discount sets how much each voucher registration is reduced and how many times a member can use it. Go to Finance, Administrative section, click Billing Settings and select Discounts. Add a discount with these settings:
- Name: a clear name, for example Young Professionals Discount
- Discount Type: the discount type you created in the previous section
- Date: Year
- Total Available: the number of registrations each member gets
- Discount Percent: 100% for free registrations, or a lower percent for a discount
Create the voucher
The voucher links your discount to one event category.
- Go to Finance, Administrative section, click Billing Settings and select Vouchers. The page lists the vouchers you already have.
- Click Add.
- In Name, enter a name. Members may see this name in your store.
- In Discount, select the voucher discount you created.
- (Optional) In Description, describe the voucher.
- In Event Category, select the category of events the voucher covers.
- Click Done.
Checkpoint: The new voucher appears in the Vouchers list.
Add the voucher to your store
Members buy vouchers as a store product. For the steps, see Add Event Vouchers to Store.
How members use a voucher
- The member signs in to your store and buys the voucher.
- The member registers for an event through the Info Hub. The event must be in the voucher’s event category.
- GrowthZone applies the voucher discount to that registration.
Common pitfalls
- Member not signed in: The person who bought the voucher must sign in when they register, or the discount does not apply.
- Several people on one registration: A voucher discounts only one registration per event.
- Refund requests: A voucher used for a free registration cannot be refunded if the attendee cancels.
Accounting for vouchers
These entries assume the fee items for event registrations are accrual basis (income recognized when it is earned) and recognized on the event date.
| When | Debit | Credit |
|---|---|---|
| A member buys a voucher | Voucher fee item deposit account | Voucher fee item income account |
| An attendee registers with a voucher | Discount type deferred discount account | Registration type deferred income account |
