Before You Begin:
Your database can be configured to charge new members for the current and immediately following period of a membership payment all at once. This is important if you are responsible for collecting certain dues on behalf of other associations. This feature simplifies the application process for both applicants and association membership staff by collecting required funds all at once so that staff have to reject or adjust received applications less frequently.
Bill Next Cycle must be enabled within the Membership pricing. Confirm the following prerequisites:
- Membership must be fixed renewal and have proration enabled.
- Membership must have Bill Next enabled on the Pricing screen.
- Using V2 of the Membership Application.
Step-by-Step Instructions
Enable Bill Next Cycle Now under the Membership Settings
- Go to Memberships, Settings section, click Membership Settings.
Click Proration Settings in the Settings section.
- Enable Bill Next Cycle Now.
Set Lead Time Days for Bill Next Cycle
Lead Time Days allows you to set the window within which the invoice for the next cycle would be created. For example, if a membership frequency is annual and lead time days is set to 90 the contact will be billed for the next cycle if membership is activated within the 0 - 90 window.
| NOTE: This is based on the day the customer applies. If a customer applies outside of the current window, then staff changes the date and approves the new agent, the next invoice will not be created (e.g. New agent applies on 8/1/24 when Lead Days to Charge Next Bill is set to 90 days. Staff change the Lead Days to 150 and then approve the application on 11/30/24. Only the original invoice amount exists because at the time of the application, Lead Days was set to 90. |

- Go to Memberships, Settings section, click Membership Settings.
Click Proration Settings in the Settings section.
- Enter the Lead Days to Charge Next Bill for each of the frequencies.
- Click Save.
Example: If a member joins 50 days before a semiannual fixed renewal membership is set to be paid again, that member will be charged the prorated amount for that membership and the following 6 months.
Enable Next Bill Cycle on Membership Pricing
Your Membership Type should be set with a fixed renewal date. This process would not work for types that renew on anniversary date. If you have not previously done so, to take advantage of this functionality, enable Bill Next Cycle on your membership pricing:
- Go to Memberships, Settings section, click Membership Types.
- For the desired membership, click the pricing link.
- Click Advanced Options at the bottom of the screen.
Enable Bill Next Cycle.
- Click Done.
Common Pitfalls
- Anniversary-date membership types: Bill Next Cycle only works for membership types set with a fixed renewal date. It will not function for types that renew on the anniversary date.
- Changing Lead Days after the fact: Lead Days are evaluated based on the day the customer applies. Changing the Lead Days value and then approving an application later will not retroactively create the next-cycle invoice.
