The Symptom: On an event's refund settings, the Auto Refund Stop Date field is greyed out and can't be selected.
The Root Cause: This is by design. You can't use the Auto Refund Stop Date on an event with Offer Registration Protection turned on. Registrants who buy Registration Protection get their refunds through ViCoverage's claims process, not through GrowthZone's automatic refunds, so GrowthZone disables the auto-refund date whenever protection is offered. Registration Protection is selected by default on new events, which is why many organizations see this without having turned it on themselves.
The Fix
Follow these steps to resolve the issue:
- In the left-hand rail, go to Events & Learning → Events → All Events - List View and open the event.
- Click the pencil icon to edit the event's General Information.
- Decide which refund approach the event should use. To keep Registration Protection, leave Offer Registration Protection checked and handle refund questions through the ViCoverage Customer Portal; the Auto Refund Stop Date stays unavailable. To use automatic refunds instead, uncheck Offer Registration Protection.
- Click Save.
- If you unchecked protection, return to the event's refund settings and choose the Auto Refund Stop Date, then click Save.
Verification: How to know it worked Reopen the event. If Registration Protection is off, you can select the Auto Refund Stop Date field and it will keep the date you saved. If protection is on, registrants still see the Registration Protection option at checkout, and the Auto Refund Stop Date remains greyed out as expected.
