The Update Expiration Dates data tool provides the ability to review and update your membership expiration dates. Expiration dates are automatically set by the system based on a membership term and renewal settings. The expiration date will automatically be 1 day prior to the next bill date.
For Example:
Membership with 12 month term
Renew everyone in January
Expiration Date for the membership will be set to 12/31
If it is necessary to update the expiration dates, this can be done, relative to the next bill date, in bulk as follows:
- Click Setup in the left-hand navigation panel
- Click Update Expiration Dates in the Data Tools section
- Select the Membership Type(s) for which you wish to update expiration dates.
- Select the Status for which you wish to update expiration dates.
- The Set Activation Exp. Date "X" Days After Next Bill Date this setting will determine the expiration date. If the expiration date is to be prior to the next bill date, enter a negative number. For example if the expiration date is two days prior to the next bill date, enter -2.
- Alternately, you can Set Expiration Dates to be at End of the Month. This will set the expiration date for the last day of the month that precedes the Next Bill Date.
- If you membership types are setup for Auto-drop, the Set Grace Exp. Date "X" Days After Activation Exp. Date allows you to change the grace period that was defined when Membership Types were setup. The Grace Period is set relative to Activation Exp. Date.
- After entering the desired criteria, click the Load button. The list will refresh and you will be able to review expiration date changes based on the settings you have entered.
- If the expiration dates are as you expect, click the Update button.
