Subscribe to Automated Staff Notifications

Your system can be automated to send notifications when certain events occur. For Example: An automated notification can be sent to a staff member when an On-line Membership Application is submitted.

 

Notifications can be assigned by clicking your name in the system header bar and choosing the My Notifications link; or an administrator can setup the notifications for a staff member on the Staff Users tab (Setup >  Staff and Users Access > Staff Setup). Notification descriptions and details can be found in the table below.

Via the My Notifications link

  1. Click your name in the upper right hand corner; the staff options menu will display. Select My Notifications.

  2. The Notifications window will open . You can either manually scroll through the list and assign the proper notifications, search for a specific notification, or you can use the Category dropdown to filter to a specific set of filters. ​​​​​Enabled notifications will display a blue checkmark.

    Use the top left checkbox to enable all notifications displayed on the screen, and/or select/deselect notifications as needed. Be sure to select the appropriate email address if needed (i.e. the staff member has more than one) and click Done to complete the subscriptions.
     

NOTE: If using a common or department email for multiple staff, at least one staff member in that department must have that email in their record. Only use one staff member to subscribe to those notifications; otherwise you may end up with multiple copies of the same notification in the email inbox!

 

Via the Staff Users tab

  1. In the Navigation panel, select Setup.
  2. Click the Staff Setup link in the Staff and Users Access section. This will automatically open on the Staff Users tab.
  3. Click the ellipsis  in the Actions column and select Notifications.

The table below describes the notifications to which staff may subscribe.

Notification Details Table

Category Event Description
Billing/Finance Auto Payment Failed Sent when a payment scheduled for auto-payment fails.
  Charge Capture Failed  
  Charge Returned Sent when a charge is rejected by Stripe (GZ Pay) and the payment refunded. This notification is already sent to the email address listed on the Payment Gateway setup screen so this notification is necessary only if you desire additional staff to receive the notice.
  Duplicate Charge Detected Sent when a charge was prevented because it appeared to be a duplicate.
  Failure to Send Receipt Sent when GrowthZone can’t send out a receipt for a payment (i.e. there isn’t an email address to send to)
  GrowthZone Pay Account Update Completed Sent when a GrowthZone Pay account does not need any fields filled currently.
  Invoice Payment Received Sent when an invoice is paid on-line.
  Membership Switched to Monthly Frequency Sent when a membership's frequency is changed to monthly by a member
  Scheduled Billing Results Email sent to provide results of scheduled billing (successes and failures)
Communication Contact Us Submission Sent when a new Contact Us form is submitted.
  Email Domain Verification Pass/Fail Sent when the "Verify DNS" button is clicked for domain verification OR when a domain is re-verified (domains will be automatically reverified every 365 days from the last verification).
  Integration Connection Failed Sent when the access to Constant Contact, MailChimp, Zoom or GoToWebinar is broken and re-authentication is required. The notification provides a link to the integration page so the staff person can re-connect.
  Member Referral Sent when a contact makes a referral via the Info Hub.
  Receive Notice When Users Unsubscribe From Email Sent when someone unsubscribes from mass/group emails.
Contacts Member Modified Profile Sent when a contact modifies profile information via the Info Hub such as their address, phone number, etc. Changes to fields such as their bio, categories, lists/committees or custom fields are NOT included in this notification. This notification is NOT sent if a staff member makes those changes in the Info Hub by impersonating a contact.
  New User Login Created  
Continuing Education Member Completed Certification Sent when a contact completes all requirements for a certification, and the status of the certification is changed to Active.
  New Certification Enrollment This email notification is sent when a Contact selects to enroll for a certification via the HUB.
  New Certification Application This email notification is sent to the Staff when a Contact selects to apply on a certification in the Info Hub.
Events Event Submitted for Approval Sent when a contact enters an event via the Info Hub. Within the email is an Approve Event link. When clicking the link, if you are currently authenticated in the software (logged in), you will be taken to the event's Overview tab. If you are not currently authenticated in the software (not logged in), you will need to log-in and navigate to the event's Overview tab. See Approve Events Submitted from Info Hub.
  Online Event Registration Sent when someone registers for an event via the on-line registration page.
  Unregistered Attendees Sent when an attendee cancels an event registration. Important if a refund needs to be given to the registrant.
Forum Forum Daily Activity  
  Forum Topic Added This email notification is sent when a new topic is added to a Forum.
  Forum Topic Comment Added This email notification is sent when a new comment is added to a topic in the Forum.
Fundraising Online Donation Notice Sent when someone makes an online donation.
Memberships Membership Application Submitted Sent when a new membership application form is submitted. Within the email, a link is available to access the applicants contact page to review the applicant information.
  Membership Renewal Response Submitted* *For memberships using Renewal Notifications only. Sent to staff when a member accepts or declines renewal of their membership.
  New Person Added To Existing Membership Sent when a new rep is added to an existing membership, either via the Info Hub, or from the back-office.
  Renewal Emails Sent* *For memberships using Renewal Notifications only. Sent to staff when the initial renewal emails are sent out to members.
Miscellaneous Association Activity Recap This email is sent monthly and includes This email will include :
  • Membership Changes: New Memberships, Pending Memberships, Membership Payments, Memberships Upgraded or Downgraded, and Dropped Members.
  • Contacts: New Contacts Added, New Staff users created
  • Communication: Count of Communications Logged, Number of active lists/committees
  • Event Activity: Events Created, Events Occurred, Event Registrations
  • Web Content: Web Content New Postings
  • Project Tracking: Projects Started, Projects Completed
  Bulk Action Complete

During the normal flow of work a membership manager may add late fees to several hundred unpaid invoices, or other bulk actions. This task would be performed in the background and could take many minutes or even hours. The staff person would likely have left the task and moved on to something else, so sending an email to the staff person allows them to know the task was completed without needing to navigate back to GrowthZone.

 

When performing bulk actions, staff should receive this email when the following actions complete:

  • From the Memberships -> Unpaid Tab
    • Adding Late Fees
    • Dropping Members
    • Suspend Members
    • Suspend Offices
    • Re-Activate

Staff will also receive this notification when other automated bulk processes run and complete, such as auto-drop, even if no members are affected.

Projects/Tasks My Project And Task Status Updates  
Sales Funnel Sales Proposal Accepted Sent when a prospect accepts a sales proposal via the on-line link.
Store New Store Order Created Sent when a new store order is placed.
Web Content User Created Or Edited Web Content Sent when a contact adds web content or changes existing web content via the Info Hub.
  Web Content Added Sent when a web content item has been submitted.
