Webinar: Continuing Education and Code of Ethics (approx. 45 minutes) — Download the handout for reference.
Before You Begin:
- RECOMMENDED/BEST PRACTICE: Before proceeding, review your Continuing Education General Settings and confirm the following: (1) your certification is set as the Default Certification, and (2) Enroll Attendees To All Relevant Certifications is ENABLED.
- For the majority of REALTOR associations this will be a general setup. If you have more specific requirements, reach out to Support.
Step-by-Step Instructions
-
Create the certification. Complete only the required fields:
- Name: Use a generic name — it is a broad "bucket" to track all education components.
- Description: Enter something generic.
- Determine Completion via: Set to Do Not Track Completion.
- Is Active: Should be enabled by default; must be selected for the certification to be usable.
Click Done.
-
Create components for the certification created in Step 1. Use the Course type. Review the Regarding Reusing Components section below for guidance if components may be completed more than once during a cycle.
- Name: Base the name on the type of COE/FAIRH course — for example, Code of Ethics - Current Agent or Code of Ethics - New Agent. IMPORTANT: Due to constraints on re-use of components for M1 sync, you may need to create components for each year or occurrence. If an agent attends an additional class associated with a component already completed, their previous credit will be overwritten.
- Type: Select COEC, COEN, or FAIRH (begin typing to see options in the dropdown).
- Is Active: Must be selected.
- Upon Completion: Enter the number of hours or credits granted.
- Component Of: Will auto-fill if the current certification is set as default. Verify it points to the correct certification.
Click Done.
- Repeat Step 2 for additional components. You should have at least one each of: a COEC component, a COEN component, and a FAIRH component.
-
STOP — Verify your settings before proceeding!
- Set your certification as the Default Certification in Continuing Education General Settings.
- Confirm Enroll Attendees To All Relevant Certifications is ENABLED.
-
Add the component to the event.
- Create or open the class/event for the Code of Ethics or Fair Housing training.
- On the Overview tab of the event, scroll to the Continuing Education section.
- Click the + icon to add the component.
- In the Certification Component dropdown, select the desired component. The window will populate with the component's details.
- Click Done.
- Match registrants to contacts if needed. IMPORTANT! COE/CE/FAIRH hours/credits will not apply if the registrant is not matched to a contact in your database.
-
Check in attendees using one of the following methods:
- Use the staff app to scan QR codes. NOTE: NOT RECOMMENDED for COE and FAIRH classes — scanning immediately sets status to Attended and grants credit.
- Use the staff app to check in manually. NOTE: NOT RECOMMENDED for COE and FAIRH classes for the same reason.
- Mark attendees as Attended manually in the back office (recommended for COE/FAIRH).
Any action that sets a registrant's status to Attended will update the Code of Ethics and Fair Housing sections on the contact's Real Estate tab and will automatically send the update to M1.
Regarding Reusing Components
Due to the way components are associated to certifications, if there is a class (component) a contact could take more than once during a cycle, unique components for each attendance are required. For example, if over three years an agent attends a COE or FAIRH class once a year, you need three separate components — one per year.
If a single component is reused and an agent attends a class containing a component they previously completed, the component will overwrite the previous completion date. Best practice: create new, unique components for each calendar year.
Common Pitfalls
- Credits overwritten: If an agent takes the same component twice in a cycle, the earlier completion date is overwritten. Create year-specific components to avoid data loss.
- M1 not updating: Confirm the registrant is matched to a contact in GrowthZone before marking attended.
- Auto-enrollment not working: Verify Enroll Attendees To All Relevant Certifications is enabled and the certification is set as default.
