The Goal: Understand what Recalculated Pricing does at renewal, turn it on, and find the recalculated prices in your reports.
Before You Begin:
- You need permission to manage membership settings and membership types.
- IMPORTANT: Recalculation uses your membership types’ current pricing and formulas. Make sure they’re up to date first.
How it works
With Recalculate Price set on a membership type, upcoming renewal invoices are re-priced when:
- you change the membership type’s base price;
- you change the value of a field used in formula-based pricing; or
- you change the value of a field tied to membership levels.
- Only at the start of a new term. A member on a 12-month term billed monthly, quarterly or semiannually gets the new price at renewal, not on the next invoice.
- For every member. Manual adjustments to a member’s scheduled billing are overwritten with the membership type’s current pricing.
- New members get the new price immediately; existing members get it at renewal. To change prices for everyone on a specific date, use Effective Date Pricing instead.
The system compares each member’s scheduled billing price with the price their membership type (and any formulas) produces now, and uses that as the renewal price.
Turn it on
Both settings are required; either one alone does nothing.
- Go to Memberships, click Settings and select General Membership Settings. Turn on Allow Recalculate Renewal Billing. See General Membership Settings.
- On each membership type that should use it, under Renewal Options, set Renewal Pricing to Recalculate price.
Report on recalculated prices
The Membership Report and Recurring Billing Report include two recalculated-pricing fields. Add Renewal Pricing Default and Renewal Pricing Override to the report fields. They only contain meaningful data for membership types set to Recalculate Price. See Reports.
Common Pitfalls
- Nothing recalculates: both Allow Recalculate Renewal Billing and the membership type’s Recalculate price must be on.
- Manual price changes lost: recalculation overwrites them at renewal.
- Monthly payers still on the old price: the new price applies at the next term, not mid-term.
- Wrong renewal prices: the membership type’s pricing or formulas were out of date.
