The Goal: Link a continuing education component to an event so that attendees automatically earn credit when marked as attended.
Before You Begin:
- The event must already be created in the Events module.
- Components must be attached to a certification to be tracked. See Create Program/Certification Components for details.
- Review your Enroll Attendees To All Relevant Certifications setting in Continuing Education General Settings before proceeding — this affects whether attendees are auto-enrolled.
Step-by-Step Instructions
Option A — Selecting an Existing Component
- Open the event that needs a component added to it.
- On the Overview tab of the event, scroll to the Continuing Education section and click the + icon.
- On the Add Event Certification Component screen, use the dropdown to select or search for the component.
- The Hours Earned/Credits Earned and Code fields will populate automatically. To edit the component details, click the edit icon and make the desired changes. NOTE: Editing a component here affects all future component associations — not just this event. Be cautious.
- (Optional) Add or change the Instructor.
- Click Done.
Option B — Creating a New Component On-the-Fly
- Open the event that needs a component added to it.
- On the Overview tab of the event, scroll to the Continuing Education section and click the + icon.
- Click the gray + icon to create a new component.
- In the Certification Component window, set up the component as needed. IMPORTANT: Components MUST be attached to a certification to be tracked. See Create Program/Certification Components for instructions.
- Click Done to create the component, then click Done again to associate it with the event.
- Repeat as needed for additional components.
Additional Notes:
- For event registrants already enrolled in the associated certification, registration will automatically update their certification progress.
- For registrants NOT enrolled: if Enroll Attendees To All Relevant Certifications is enabled under Continuing Education Settings, they will be auto-enrolled. See Configure Continuing Education General Settings for more information.
- If auto-enrollment is not enabled, you must manually enroll the registrant. See Continuing Education Enrollment for details.
- Only registrants matched to existing contacts will be automatically enrolled. Hidden contacts or contacts matched after the fact will not be auto-enrolled. See Working With Event Registrations for more.
- Registrants for events tied to multiple certifications will be enrolled in all associated certifications.
- If both an event registration fee and a component/certification fee apply, registering pays only the event fee. A separate invoice for the component/certification fee will be generated automatically.
- When an attendee is marked as Attended, they automatically receive a Component Completed email. The document generation template is selectable per component. To suppress this email for a component, go to Settings > Automated Messages and disable the relevant message.
Common Pitfalls
- Credits not applied: The attendee must be matched to a contact in the database before check-in. Unmatched registrants will not receive credit.
- Component edits affect all future associations: When editing a component via the event, changes apply globally. Create a new component if you need event-specific settings.
