Best Practice versus Standard Actions on a Transaction: What Can and Cannot Be Done

There are different actions allowed in GrowthZone dependent on whether you have Best Practice (BP) mode disabled or enabled.  Enabling Best Practice is a requirement if you are using QuickBooks Online integration.  

 

This table contrasts the various actions that can occur related to fee items, invoicing, and payments.  

 

Without Best Practice (BP) Mode

With BP Mode turned on

(required for QBO)

Fee items

Can make changes          

Cannot make changes: *Instead - Deactivate old fee item, create new fee item, map new fee item to QBO (Setup>Integrations>QBO>Fee Items)

 

Invoices

Can apply payments

Can apply payments

Can be written-off

Can be written-off

Can be edited / deleted (dependent on accounting practices under Finance>General Settings)

Can only be edited under Edit Invoice (# changed to a #-C)

 

CANNOT delete transactions:  *Instead – Void and create a new invoice or edit invoice as noted above

Payments

Can create refund; OR

Can void and apply payment to correct invoice

Can unapply a payment (if paid by credit card) and apply it to another invoice on the same record.  If this is for an organization, it can be applied to related contact invoices.

  • Visible on the Billing tab as an available credit 
  • Visible on the Billing module>Payments>filter to Unapplied Overpayments
