Real Estate Edition Only
The Goal: Set up a certification and components so that when a REALTOR attends a Fair Housing training event, their COEC/COEN/FAIRH training is automatically updated in NRDS/M1.
Before You Begin:
- Review your Continuing Education General Settings before proceeding.
- Create your certification first (Step 1 below) and set it as the Default Certification in General Settings.
- Make sure that Enroll Attendees To All Relevant Certifications is enabled in General Settings.
Step-by-Step Instructions
-
Create a certification. Complete only the numbered/required fields:
- Name: Best practice is to use a generic name; the certification is a broad "bucket" to track all education components your association uses.
- Description: Enter something generic.
- Determine Completion via: Set to Do Not Track Completion.
- Is Active: Should be enabled by default; must be selected for the certification/components to be used.
- Click Done.
-
Create components for the certification created in step 1. Use the Course type. See the note below regarding reusing components.
- Name: Best practice is to name the component based on the type of Fair Housing course.
- IMPORTANT: Due to current constraints on re-use of existing components for sync with M1, and depending on how often your agents/brokers attend classes, you may need to create components for each year or occurrence of the class. If an agent/broker attends an additional class during the cycle that is associated with a component they have already attended, their previous credit will be overwritten.
- Type: COEC, COEN, or FAIRH (begin typing and the system will present COEC, COEN, and/or FAIRH in the dropdown).
- Is Active: Should be enabled by default; must be selected for the certification/components to be used.
- Upon Completion: Enter the number of hours or credits granted after completion.
- Component Of: This will auto-fill if you have the current certification set as default; confirm it is set to the correct certification for the component.
- Click Done.
- Repeat step 2 for additional components. You should have at least one each of: a COEC component, a COEN component, and a FAIRH component.
-
STOP! Verify your settings before proceeding:
- Set your certification as the Default Certification.
- Make sure that Enroll Attendees To All Relevant Certifications is enabled.
-
Add the desired component to the event:
- Create or open the class/event for the Fair Housing training.
- On the Overview tab of the event, scroll down to the Continuing Education section.
- Click the plus icon to add the desired component. In the Certification Component dropdown, select the desired component. The window will populate with the details of the selected component. Click Done.
- Match registrants to contacts if needed. IMPORTANT! The COE/CE/FAIRH hours/credits will not apply if the registrant is not matched to a contact in your database.
- Check in attendees using one of three methods:
- Use the staff app to scan QR codes. NOTE: For COE and FAIRH classes THIS IS NOT RECOMMENDED, as it immediately sets the attendee status to Attended and grants them the credit for the class.
- Use the staff app to check in manually. NOTE: For COE and FAIRH classes THIS IS NOT RECOMMENDED, as it immediately sets the attendee status to Attended and grants them the credit for the class.
- Mark them as attended (recommended for COE/FAIRH classes).
- Any action that sets a registrant's status to "Attended" will update the Code of Ethics and Fair Housing sections on the contact's Real Estate tab and will automatically send the update to NRDS/M1.
Did You Know? If you add an attendee after an event has taken place and mark them as attended, they will still receive the credit and their NRDS/M1 will update with the date of the event as their COEC/COEN/FAIRH training date.
Common Pitfalls
- Credits not applying: Registrants must be matched to contacts in the database before check-in for credits to record correctly.
- Credit overwritten: If an agent attends a second class during the same cycle and it is tied to a component they already attended, the previous credit will be overwritten. Create separate components per year or occurrence to avoid this.
- QR/app check-in for COE/FAIRH: Scanning QR codes or using the staff app for manual check-in immediately grants credit and is not recommended for COE and FAIRH classes.
