The Goal: Use the Transactions by Contact report to document every individual associated with a single payment, so you can supply the breakdown to organizations such as NAR or your state association.
Before You Begin:
- Understand the underlying behavior: when one individual pays for multiple agents and the line items are sent to the state, only one M1 record is sent to NAR eCommerce. For example, a broker pays for five agents, but the information M1 sends to NAR displays only the broker’s ID, not the individual agents’ IDs (because the broker made the payment). On NAR’s side this shows as a credit for the broker, and the agents’ invoices don’t show as being paid.
- Have the payment reference number (the EC control number) ready, along with the sales date range you want to report on.
Step-by-Step Instructions
- Go to Finance, Billing section, then scroll down to the Transactions by Contact report found under the Historical and Planning section.
- Apply the following filters:
- Sales Date Range
- Transaction Type: Payment
- Additional Criteria/Filters: Ref Number - Equals — enter the payment reference number (EC control number).
In the Fields to Display, use the drop-down arrow to select Purchase Contact Name.
If you choose, add a Summarize By > Purchase Contact Name for easier viewing.
Common Pitfalls
- Expecting the agents’ invoices to show as paid on NAR’s side: Because only the payer’s (broker’s) ID is sent to NAR eCommerce, the agents’ invoices won’t reflect the payment there. Use the Transactions by Contact report to document the individuals tied to the payment and share it with National or State on request.
