The Goal: Define membership-status rules that automatically update each member’s M1, MLS, and Lockbox status when their membership status changes.
Before You Begin:
- You need Real Estate Edition enabled and staff access to Settings → Real Estate Edition.
- These rules apply to PRIMARY agents only. Secondary agents’ M1 status will not be updated, because secondary associations do not have editing permissions for agent records in M1 — those changes must come from the primary association.
- Know which membership types you want to govern and the desired M1, MLS, and Lockbox status for each membership status. Automated changes are triggered by both a mass drop through the Unpaid tab and a manual drop from a contact record.
Step-by-Step Instructions
- Click Settings in the left-hand rail.
- Go to Settings, Real Estate Edition section, click Suspend/Drop/Reactivate Settings.
Click the Real Estate Settings tab.
To set the rules for your membership types, click the Add button.
- Select the Membership Type to which you wish to apply rules.
- For each Membership status, select the rule to be applied to M1, MLS and/or LockBox. Note: The choices available will be dependent on your service provider, and you do not have to set rules for all providers. IMPORTANT: In M1, Suspended status is a special status that can only be sent January 1 – March 3 every three years. M1 will reject any status change to Suspended outside of this timeframe. Refer to NAR documentation for further information on the cycle.
- Configure Days Overdue to Allow Reactivation: This option allows you to set a window within which invoices can be overdue and still allow the system to automatically reactivate a suspended member. This is especially important if you are billing members on a monthly basis. NOTE: If this is set to 0 there are no restrictions and the membership will be automatically reactivated on payment.
For Example:
- Default invoice terms set to Due on Receipt, and Days Overdue to Allow Reactivation is set to 20.
- Monthly billing is run on the 1st, and allow members to remain active if the invoice is paid by the 20th (i.e. within 20 days).
- Agent A does not pay the invoice within 20 days, so you suspend the member.
- Default invoice terms set to Due on Receipt, and Days Overdue to Allow Reactivation is set to 20.
Then August billing goes out, and on August 7th Agent A remembers to log in to their Info Hub account and pays their July invoice, but leaves the August invoice unpaid.
- Because they are within that 20 day window of the August invoice, the system will reactivate them; they aren’t “overdue” until August 21st due to the 20 days setting in the Days Overdue to Allow Reactivation.
- Click Done.
Repeat the steps above for each membership type to which you wish to apply rules. NOTE: You do not need to perform this step for all membership types. If no rules are set for a membership type, no changes to M1, MLS or Lockbox status will automatically occur. Automated changes to these settings should be triggered by both a mass drop through the Unpaid tab and also a manual drop from a contact record.

Common Pitfalls
- Sending a Suspended status outside the allowed window: M1 only accepts a change to Suspended between January 1 and March 3 every three years and will reject it at any other time. Check the NAR cycle before relying on automated Suspended changes.
- Expecting Secondary agents to update: These rules update PRIMARY agents only. Secondary agents’ M1 status must be changed by their primary association.
